Hire the scanners, count your stock, send them back.

These are the terms, and they are short on purpose. If any of it does not suit you, do not hire — there is no version of this where we would rather have the argument than the goodwill.

They cover equipment hired from Barcode Datalink Pty Ltd, ABN 27 086 728 234, of 12 Preston Way, Berowra NSW 2081, together with the use of Stocktakes Online for the hire. Booking the equipment means agreeing to them.

The equipment

It stays ours. You are hiring the use of it.

You get the scanners on your confirmation, their charging cradles, spare batteries, power supplies and the carton they travel in. The carton is part of the hire: it is built for the return trip, and a device sent back in something else is more likely to arrive broken.

OURS

Do not sell it, lend it or pledge it

Not to a customer, not to another site, and not as security for a debt. If somebody else needs scanners, send them to us and we will look after them.

STAGED

Do not factory reset it

They arrive configured for your site, with the app installed and pointed at your portal. A reset undoes the scanner setup and the serial permission, and turns a ten-minute turnaround into a staging job. If something needs changing, ring us.

CLEAN

Nothing of yours goes back with it

The scanners store nothing — every count goes to the portal as it is made. That is why we can wipe and re-stage a device for the next hirer without asking you, and why nothing you counted leaves with the carton.

Time

From the day it leaves us to the day it is back.

Not the day you finish counting. The equipment is out of the fleet the whole time it is away from us, so that is the period you are hiring.

DAY

A calendar day, not a business day

$110 a scanner a day, inc GST. Weekends count, because the scanner is not here on a weekend either.

WEEK

$440, whenever that is cheaper

Seven consecutive days. You are never charged more than the weekly rate for a week, so there is no arithmetic to catch you out.

MORE

Ask before the return date

We will extend it if the units are not promised to somebody else. There are six scanners, so an extension is not automatic and we cannot promise one in advance. Equipment back late is charged at the daily rate until it arrives.

Getting it there and back

Freight is quoted, and you send it back tracked.

What it costs to get scanners to you depends entirely on where you are, so it is quoted separately rather than buried in a rate. Return freight is yours to arrange and pay for, in the carton it arrived in, by a method with tracking.

Check it the day it lands. Count the devices and accessories against the delivery note and tell us within two business days if anything is missing or damaged. That window protects you more than it protects us — it is the only point at which anyone can sensibly tell a courier's damage from yours.

Damage, loss and theft

They are warehouse scanners. Scuffs are expected.

You are responsible for the equipment from when it is delivered to you until it is back with us, including while it is in transit on the way home.

FREE

Fair wear and tear

Scratches, scuffs, a worn keypad, a marked screen protector. These are rugged devices and that is what they are built for. Never charged.

COST

Broken is charged at what it costs

A cracked screen, a broken trigger, water inside it, a snapped connector. Charged at the repair cost, or at what an equivalent replacement costs us if it cannot sensibly be repaired. You see the quote or the invoice before we charge anything.

GONE

Not coming back

If a device is lost or stolen, you pay what it costs us to replace it with an equivalent unit. If it was stolen, report it and give us the police report number — we will need it. Batteries that stop holding charge with ordinary use are ours to replace, not yours.

We do not insure the scanners while they are with you. Six devices is not a fleet worth a policy, so there is no insurer standing behind clause five — if something is broken or does not come back, it is between us. Worth checking whether your own business policy already covers hired equipment, because many do and it costs nothing to find out before you book.

Paying

New customers pay before it ships. Account customers do not change.

If you have an account with us, nothing here changes it — some of our stocktake customers have been invoiced the same way for fifteen years and that works. If we have not dealt with you before, the hire is paid in advance, before the equipment leaves.

We never see your card number. If you pay by card it goes through the payment provider's own page. Nothing on this website, and nothing on our scanners or our portal, ever handles card details.

The software

What Stocktakes Online does, and what it does not.

This is the part worth reading twice, because it is where hire companies usually promise things they cannot deliver.

What it is

An electronic and live way of capturing a count, instead of pen and paper. Scan the bin, scan the part, say how many, and the figure is on the portal before the operator has turned around. You can watch a count happen from an office. At the end there is nothing to type up, because there was never a sheet of paper.

That is the whole claim. It is a real one, and it is enough.

What we do not claim

We do not promise it is faster, more accurate, or cheaper than what you do now. We are not claiming a percentage saved, a time saved, or a stocktake finished by a particular hour. Anybody quoting you those numbers about your warehouse has not seen your warehouse.

The software records what was scanned and what was typed. It cannot know whether the right shelf was counted, whether an aisle was missed, or whether the number entered was the number in the bin. The count is yours.

What we need from you

We supply the equipment. The building is yours.

A live system needs a live network. We do not supply wifi, internet, power or access points, and we are not responsible for a count that ran long, stalled, or could not be recorded because the network was not there.

Coverage where counting happens

Including the far corners, the cold store, the mezzanine and the back of the racking. Test it before the day, not on it. We will help you test it.

LABELS

Parts and bins readable

A barcode that will not scan stops a count dead. Parts labelled, bin locations barcoded and in place, and the reference data loaded and spot-checked.

PEOPLE

Staff who have used it before the day

We give you time to train and time to test, and it is not charged. Take it. A stocktake is a bad morning to meet a scanner for the first time.

None of this is a surprise on the day, because we give you the list first. We have been setting up stocktakes since 1991 and we know what goes wrong. The setup checklist is on this site — work through it in the fortnight before and almost everything on this page stops being relevant.

Your data

The counts are yours, and you can take them with you.

Parts, bin locations and every count belong to you. They are held in Sydney. You can export the lot to CSV from the portal whenever you like, during the count or years afterwards, and we do not sell it, trade it or use it for anything but running the service for you. The privacy page is the long version.

Ending it

Send it back early if you are done.

Charges stop the day the equipment is back with us. A weekly rate already reached is not refunded, because those units were held for you and not offered to anybody else.

We can ask for the equipment back if these terms are broken and not put right within a week of us asking in writing. That has never happened and we do not expect it to.

Nothing here takes away rights you have under Australian consumer law. If we get something wrong — equipment that does not work, a service not delivered with reasonable care — you have remedies that no page on a website can sign away, and we would not want to. This page is about what we each do, not about what you give up.
